The form of warehouse movement

 

Warehouse movement document can be issued only for a stocked item of merchandise and set types,  i.e. item which warehouse stock is greater than zero.

WM- form has several tabs, but in order to make a document it’s enough to fill in “General” tab and add an element.

 

A new WM- document can be added by clicking [Add] in the List button group. This document can be also generated from the level of the item quantity calculation document (IQC).

 

 

 

Tab General

This tab contains basic data which has to be filled in, in order to issue a WM-. In case of simple documents, which don’t require any special settlements concerning analytical description or attributes – it’s enough to fill in successive fields on this tab in order to issue a document.

The General tab of WM- document consist of two parts:

  1. The header, where the following information is specified: number, source warehouse, target warehouse, collector, center, date of issue, subtotal value and the parameter of generating a WM+. There is also a description field for providing additional information  

2.     List of items which contains the basic information about the selected items: ordinal number, item code and name, quantity, unit of measure, and subtotal value

 

 

Header

Header contains basic information about whole document:

Number – content of this field depends on selected document type (that is on selected numerator schema – see manual Comarch ALTUM System Configuration -> Numerators). Depending on numerator schema, there can be 3 to 8 fields displayed in defined by user sequence. These fields will contain particular sections of a number. If in numeration schema user defined a section containing warehouse (company owns several warehouses) –  clicking the arrow next to the field will display a list of all warehouses and allow user to select one.

When a document is created in number section a new number appears automatically. User can’t assign his own number to a document by entering it by hand. When a document is deleted, its number is dispensed, i.e. new WM- will receive the number of deleted WM-, e.g. there are three documents in the system with numbers: WM-/2007//00001, WM-/2007//00002, WM-/2007//00003. WM- with number WM-/2007//00002 (unconfirmed) is deleted. After deleting this WM- the newly added document will receive number  WM-/2007//00002.

Source Warehouse/Target Warehouse – this field defines adequately source and target warehouse. Source warehouse is a warehouse from which item will be moved and target warehouse is a warehouse to which an item will be moved. While issuing a new WM- document, default warehouse is automatically suggested – of course only if user has permission to it. It’s impossible to move item within the same warehouse, so source warehouse has to differ from target warehouse. Both source and target warehouse can be changed.

Source warehouse can be changed until the first document element is added.

 

Center – name of the center in which the user currently works

Description – in this field user can enter additional information

Document Status – specifies the status of a currently opened document. Document statuses can be the following:

Initiated -  document is being issued, it is not yet saved in the database.

Unconfirmed – document saved as unconfirmed can be edited.

Confirmed – confirmed document cannot be modified

Canceled – such document is not editable

 

Date of Issue - date, when document was issued. By default the system date is suggested (current date) but it can be changed by user.

Subtotal – subtotal value of all document. Next to the value is field with symbol of currency. Because WM- document is always issued in the system currency, this field is automatically filled in with the system currency symbol.

Automatic Generation of WM+ – in this panel, it is possible to determine whether to generate a warehouse movement document (WM+) and to specify the status for the generated document by checking one of the available options:

            Don’t generate – if selected, a WM+ will not be generated automatically after confirming a WM-

Unconfirmed – if selected, a WM+ will be generated automatically and registered as unconfirmed after confirming a WM-

            Confirmed – if selected, a WM+ will be generated automatically and registered as confirmed after confirming a WM-

 

The setting of one of the three options on the form of WM- document is retrieved from the settings of the automatic generation of WM+ specified on the form of WM- document type. The option selected on the form of WM- document type is the default setting on WM- document.

 

 

List of items

One WM- document can be issued for several items but all of them have to be present in the same warehouse. In this part of the form a list of all items for which document was issued is displayed:

No. – ordinal number of elements, if one of document elements is deleted then remaining elements will be renumbered automatically

Code – code of selected merchandise

Name – name of the selected item

Quantity – quantity of item, which is sold

UOM – unit of measure in which item is sold (it doesn’t have to be basic unit)

Value – item’s subtotal value

      

  

 

 

 

Tab Associated Documents

Tab “Asscoaited Documents” is non-editable for user. It contains information about all documents assigned to a given WM-, e.g. generated WM+. This information is automatically brought up to date, according to carried out transactions. It contains basic information about assigned document, like: number, date of issue, customer data, net and gross value and document type.

Adding an item to WM-

WM- can be issued only with item which is present in register of items, e.g. its data is saved in Items dictionary. It’s not possible to issue a document with one – time item, without entering its data into the database.

In order to issue WM- item has to be present in a warehouse, its warehouse stock can’t equal zero and it has to be active, i.e. participate in trade.

The list is maintained with the standard buttons available Items buttons group (see the manual Getting started with Comarch ALTUM -> Buttons).

Characteristics of unconfirmed WM-

Below are the following features characteristic for an unconfirmed warehouse movement document:

1.     It can be edited

2.     It reserves item in quantity on which internal release was issued – if quantity or item are changed on document then reservation is changed

3.     It can be deleted permanently – removal deletes reservation

4.     It can be confirmed from the level of document form or it can be confirmed from the level of list of IR- documents

5.     WM+ document can’t be generated from it

6.     It can’t be posted

 

 

Characteristics of confirmed WM-

Both saving the WM- document from the level of document form and confirming it from the level of list of documents results in the same consequences. Such confirmed warehouse movement has following features:

  1. It can’t be edited – only details of document or element can be previewed, without possibility of changing them
  2. It can’t be deleted
  3. It can be posted
  4. Decreases item’s quantity stock in a warehouse at quantity from document
  5. WM+ document can be generated from it

6.     It can be cancelled – increases quantity of item in a warehouse

        

 

 

 

 

Rules for generating a WM+ from WM-

User can generate WM+ from WM- document by selecting (highlighting) a proper WM- document and then clicking button [Generate WM+] from the Generation buttons group. This function is active only for confirmed WM- documents.

From one WM- document only one WM+ document can be generated. It will contain all the items from WM- document – it’s impossible to generate WM+ document containing only a part of WM- items.

In case of failure the system will also display proper message containing the reason of failure.

Rules for generating a WM+ from WM-:

1.     WM+ can be generated only from confirmed WM- document

2.     From one WM- only one WM+ document can be generated

3.     WM+ can’t be generated if for a given WM- there was WM+ generated earlier

4.     After removal or cancelling of WM+ document it can be once again generated for a given WM-

5.     WM+ can’t be generated from posted WM- document

      

 

 

Characteristics of generated WM+ document

WM+ document doesn’t exist independently, it’s always connected with WM- document and it arises by generation from WM-. WM+ document has several characteristics:

12.  It documents transaction of movement (acceptance) of item to a warehouse

13.  After generation it can be saved or confirmed

14.  Unconfirmed WM+ can be deleted

15.  It can be saved permanently from the level of WM+ documents list

16.  Confirmed document can be cancelled

17.  List of elements can’t be edited – it’s retrieved from WM- while generating (item can’t be deleted, its quantity nor features can’t be changed)

18.  Date of issue can be different than WM- date of issue,  but not earlier than WM- date of issue.

19.  WM+ form has the same additional tabs as WM-
